The court-case test: decision, conditions, next proof — written to be read. Not glamorous. Some of the cheapest legal insurance you will ever buy in delivery.

How to use it

When to reach for it,
and how to fill it in.

Use it when

  • A follow-up email describes a decision that is not the one you made.
  • Scope is creeping in through “just to confirm” messages.
  • You need the agreement on record without starting a fight.

How to fill it in

  1. Decision: we have agreed to…
  2. Boundary: what is in and what is out.
  3. Conditions: this is contingent on…, and the assumptions are…
  4. Next proof point: we will review what, on when, and decide what.
Common mistakes

Where it usually goes wrong.

Arguing the history

Do not relitigate who said what. Restate what was agreed and move to the next proof point.

Emotion in writing

Write it to be read by someone neutral, months later. Decision, conditions, next proof.

Waiting

The longer a rewritten version stands, the more people believe it. Reply the same day.

Questions

Quick answers

How do you correct a misunderstanding in an email professionally?

Restate the decision as agreed, the boundary, any conditions and the next review point, without commenting on how the misunderstanding happened.

Should I reply all?

Reply to everyone who received the rewritten version. A correction only works if it reaches the same people.

What if they disagree with my version?

Then you have found the real disagreement, which is progress. Book a short call to decide it, and log the outcome.
